If you haven’t heard of Zapier you HAVE to check it out, even if you don’t use it with SPOTIO.  Trust me.
I use it in my personal life and business to automate tasks to save me several hours a week.
Here’s some of my favorite Zaps to use with SPOTIO:
  • Send a SPOTIO lead to your CRM
  • Send a text message to a sales manager when a new sale is made
  • Create a new google contact from a SPOTIO Pin
  • Create a new DropBox folder from a SPOTIO Pin (think for document/image storage on a per address basis)
And there’s so much more you can do as well.

Creating a Company Sales Calendar in SPOTIO https://spotio.com/blog/creating-company-sales-calendar-spotio/ https://spotio.com/blog/creating-company-sales-calendar-spotio/#respond Thu, 28 Aug 2014 15:21:36 +0000 https://spotio.com/?p=700 Many door to door companies use canvassers to set appointments for the sales reps to come back and close at a later date.  It is often important that the whole team knows what days and times are open so that appointments are overlapped.  It is also good for management to have access to all these appointments in one place so they can be verified.

While the current version of SPOTIO doesn’t have a native calendar we do automatically set any appointments made in the app to the phones default calendar.

Here are the Steps to easily set up a company sales calendar and share it with your sales reps so that all appointments go to one place.

Step 1: Create a company Gmail Address

By creating a company gmail address you will also be given a google calendar.  I like google calendars because they are very easy to share across devices and are simple to use.

Create the email address HERE.

Step 2: Make sure your sales reps all have a gmail account

Since we are going to be sharing the company calendar with them they need to have a gmail address and google calendar too.  This calendar needs to be the default calendar on their phone.  More on that later.

You might ask why are we doing all of this sharing calendars stuff when I can just give them the login to my company calendar and save that extra step!  Because unfortunately turnover does happen and the chances are at some point the rep and the company will part ways.  When and if that time comes you will want to have the ability to prevent the ex-employee from having access to your precious leads.  You do this by removing them from the sharing option.

Step 3: Share your company calendar with your sales rep

You will need to know their gmail address in order to complete the sharing

Step 4: Make the gmail calendar default on reps phone

Step 5: Start setting appointments in SPOTIO and now they will appear on your company calendar.

Now your whole team can share appointment times and dates to be on the same page.  If you need to remove somebody from your shared calendar then just follow step 3 to unshare it with them.

The rep and managers celebrate and the other team members want to know how they did it.

Why not announce to the whole team or maybe just the manager when a new sell happens in SPOTIO?

In many phone rooms around the world they have a Gong that gets rang when a sell or something positive happens. I doubt you want to carry a gong around with you while knocking doors so we can settle for a text.

Being a manager or an owner it would be great to know that everytime you got a text while your team was out working you knew there was money being put in the bank.

Its as easy as ever with SPOTIO and Zapier. Here’s how.

This is assuming you already have a Zapier account, here’s how to get the SPOTIO zap if you don’t already have it.

Step 1: Choose the Trigger app and the Action App

Step 2: Connect or Create Phone Account

Use the phone number of whomever is going to get the text.  If you want to send it to the whole team then you will have to create an individual Zap for each phone.

Step 3: Set the Filters

In this example we are going to send a SMS text when a PIN is created or updated to the Sold status.  You can use the top filter to choose either Created or Updated but if left blank then it will default to either.

Step 4:  Create Your Message

I had a little fun with this one.  You may just want to put the Reps name and Address or any other custom info you might have such as the Contract Price.

Just go through the next few steps to finish creating the zap and you will now be notified every time a PIN is move to the Sold status.
